PUB - Publications at Bielefeld University represents a service that helps you make your personal publication list available on the internet. The new service supplies publication data from the university sources FoDa and BiPrints in one place and offers additionally:
This guide describes how you work with the existing records, how you edit, add and display them in public.
In order to access your personal work area, start your browser and enter
http://pub.uni-bielefeld.de/(en)/.
Click on the link "Registration for First-time Users", which is located on the upper right side of the "PUB Home" page.
Key in your HRZ username and password of Bielefeld University and click "Register". It's the same username and password which you use for e.g. the Webmailer and Stud.IP.
As a result the registration information will be dispalyed. After click on "Submit" you will reach your access protected personal work area.
You are now registered for PUB and may edit you personal publication list any time. From now on please use the "Login" link which you will find below the "Registration" link to access PUB.
If you encounter registration problems, please contact the PUB support team (for contact details see at the bottom of this guide). We will be glad to assist.
Bielefeld University provides your publication data from the university sources FoDa and BiPrints in order to facilitate your start with PUB. In addition, we continuously import your publication data from Web of Knowledge, if there are any, into your list.
Your work area in PUB is titled "My Publication List Manager". By default, the list is sorted descending by year. The main part of the list is the column "Publication", which displays the authors names, title and source of your publication. The column "Data Source" indicates the provenance of the records, "Publication Type" indicates the document type.
Whether a publication has already been made visible on the internet or not, can be seen in the column "Status in PUB".
If you want to display a record in public, press "Publish".
Your publication data from the university sources FoDa and BiPrints have been imported in PUB in order to reduce adding and supplementing work by hand.
If you want to display one record in public, press the "Publish" button.
If you want to display several records in one go, tick the respective boxes on the left hand side of the entries. Then click "Publish Marked Items" in the column heading.
The marked records are now visible in public.
If your list includes more than 20 records, go to the next page and repeat the procedure.
For clarity reasons, you might want to change the sorting of your list. If so, simply click on the column headings or use "Viewing Options" for reducing or expanding the number of columns (e.g. to display or hide departments, documentID etc.)
In addition to that you can use a search function across your list. Click "Search in my Publications" and a search mask will open.
You can display records from BiPrints in public without any doubts. We recommend to handle Web of Knowledge (ISI) data just the same. However, in case of a non-english publication you have to add the original title here.
Since the database structure of PUB is more detailed and multi-faceted in comparism to FoDa, please check, correct and complete the FoDa data if you want to keep them.
The different data sources may cause more than one entry for a publication. In order to find possible duplicates and to decide for one, use the option "Search for duplicates".
If you want to see all bibliographic data of a record, click "View". You will get classified view of your record.
If you want to change or edit it, go back to the list and click on the title which is presented in bold letters. You will then get a fielded entry form.
The entry form is divided into four areas: Work, Abstract + Subject, Fulltext und Message. Click on one of the tabs to change areas.
Important: The area "Work" includes the fields which are important for the formal description of your publication. Please do not forget to tick the box "Link to PEVZ Account" next to the author's name when authors from Bielefeld are involved.
A window will pop up where you will find the author's name as a link and his or her affiliation. Click on the link in order to induce the connection of the PUB entry and the personal page in the directory of staff and departments (PEVZ). If the allocation is successfully completed, the university's logo will appear next to the author's name.
Your affiliation to a department is preset in the field "Department/Affiliation". If you want to add another department or chair, click "+" and then "select" and choose from the list. If your work has been published while not employed at Bielefeld University, please tick the box "Published while not employed at UniBi".
Abstract + Subject: here you can describe the content of your publication in detail.
Fulltext: here you can upload a paper or link to the paper some place else.
Message: here you can leave notes.
For each field some explanatory annotations are at hand if you click the bullet with the question mark.
At the bottom of the entry form some buttons are offered: The data you entered can be saved any time during the working process by clicking "Save". By clicking "Publish", you can make this very record visible on the internet as part of your publication list. If you want to change the publication type while you work on it, click "Change Type".
You can add new bibliographic records to your list any time. In the navigation bar ("Control Panel") on the left hand side you will find the option "Add new publication". Choose the suitable publication type from the drop down menu and you can start entering data right away.
Please enter all relevant data concerning your publication. Please type in the author's or authors name(s) and induce the connection of the PUB entry and the personal page in the directory of staff and departments (PEVZ) by ticking the box "Link to PEVZ Account". Select the department(s) of Bielefeld University where the publication was created and add information that describes the content (Abstract + Subject). The visibility of your publication will grow if you link to a fulltext on the web or upload the very publication (Fulltext).

You may save your entries by clicking "Save" or make it visible on the internet as part of your publication list by clicking "Publish". If you want to change the publication type while you work on it, click "Change Type".
Many researchers use reference management software for the maintenance of their publications. You can upload your bibliographic data into PUB using BibTeX files.
Click "Import" in the navigation bar ("Control Panel") on the left hand side, select the file and click "Submit". After that you will be led to a short information page and clicking "Show imported records", your records will be part of your publication list manager.
Please allocate yourself and your co-authors from Bielefeld University. Click on the title link in your list. You will get a fielded entry form where you tick the appopriate boxes &quo;Link to PEVZ Account". A window will pop up where you will find the author's name as a link and his or her affiliation. Click on the link in order to induce the connection of the PUB entry and the personal page in the directory of staff and departments (PEVZ). If the allocation is successfully completed, the university's logo will appear next to the author's name.
After that, click "Publish" in order to display the record(s) in public.
If you want to import files other than BibTeX, please send them to the PUB Support Team. We will take care of it.
Of course it is possible to import your records into the reference management system back again. Above the list you will find the "Export" menu. Decide, whether you want to export the marked or the public items and choose the appropriate format.
After having "published" your records, the list will automatically and be default be embedded in your directory of staff and departments record. By clicking "Public View" you will directly get there. Clicking the arrows icon at the end of each entry will show a complete view of the record.
Of course, you may edit all your records including the ones that are already "public" at any time. If you want to withdraw a record from the public view, click in the "Publication List Manager" (or in the entry form) "Return". Records which have been withdrawn this way, can only be "published" again by clicking "publish" in the entry form.
You may also embed your personal publication list into your webpage. Click the option "Embed" in the navigation bar of your "Publication List Manager". Here you can also choose a citation style, if you refuse to use the standard style. You only have to take this step once, the list on your webpage will be automatically updated. Of course you can change the citation style which will be used on your personal page in the directory of staff and departments as well. Simply click "Citation Style Settings" in your "Publication List Manager".
